A/P Automation for Hotels: Capture, Code, Approve, Pay
For a typical multi-property hotel group, accounts payable is the single highest-volume back-office workflow. A 10-property operator processes 3,000–6,000 invoices a month across utilities, laundry, F&B, OS&E, maintenance, brand fees, OTA commissions, and dozens of one-off vendors. Most do it by hand.
This guide explains how A/P automation actually works for hotels, what to look for, and how to evaluate platforms.
The 4 stages of A/P automation
1. Capture
Invoices arrive via email, mailed paper, vendor portal, or PDF attachment. A real A/P automation platform handles all four channels:
Email-in: dedicated ap@
OCR: header, vendor, line items, totals, tax, due date — extracted automatically.
Paper: scan-to-email or mobile capture.
Vendor portals: API or scheduled pull.
The bar is 95%+ first-pass capture accuracy without any human keystroke.
2. Code
Every invoice needs a GL code, a property, a class/department, and (often) a project or capex code. A real platform:
Auto-suggests GL based on vendor + history (Acme Linen Service → 6240 Laundry)
Splits line items to multiple GLs when invoices cover multiple departments
Routes to the correct property automatically using vendor + property mapping
Applies tax rules by jurisdiction
After 30–60 days of training data, 80%+ of invoices auto-code without human review.
3. Approve
Approval routing by property, dollar threshold, vendor type, or GL code. Approvers see a single email with the invoice, the proposed coding, and one-click Approve / Reject / Reassign.
Critical features: - Multi-level approval ($0–$1K to GM, $1K–$10K to AGM, $10K+ to VP Ops) - Mobile approval (most GMs are not at a desk) - Out-of-office delegation (don't bottleneck on vacation) - Audit trail (who approved, when, from where)
4. Pay
Approved, coded invoices generate Bill Pay runs
ACH for vendors with bank details on file
Check for the long tail
Vendor remittance auto-emailed with invoice numbers
Audit pack generated for month-end
Why hotel A/P is different from generic A/P
Generic A/P platforms (Bill.com, Tipalti, AvidXchange) work for office businesses. Hotels have specific complications:
Property-level coding. Every invoice belongs to a property, not just a department.
Brand-specific GL. Choice's chart of accounts differs from Wyndham's differs from IHG's.
OTA commission invoices. Reconcile to PMS bookings before paying.
Pass-through utilities. Some hotels pass utilities to ownership, some don't — coding matters.
F&B vendor frequency. Daily deliveries, weekly invoices, monthly statements.
High GM turnover. Approval routing must survive personnel changes without breaking.
A hotel-specific A/P platform handles all of this out of the box. A generic platform requires custom configuration that breaks every time something changes.

FAQ
How long until auto-coding accuracy reaches 80%? Typically 30–60 days, depending on invoice volume.
Do we keep our existing approval workflow? Yes. Innrly mirrors your existing approval hierarchy by property, dollar threshold, GL code, or vendor type.
Does Bill Pay handle both ACH and check? Yes. Innrly Pay generates ACH for vendors with bank details and checks for the rest, with auto-remittance.
What about duplicate invoice detection? Innrly flags duplicates by vendor + invoice number + amount + property. Catches the most common errors before they become double payments.
Does it work with M3? Yes — Innrly is an officially certified M3 integration partner. Invoices push directly with GL coding intact.
